Warehouses and stock balances

Demo School stores exercise books in the Bookshop and cleaning supplies in the Main store. Separate warehouses make it possible to explain where stock is held and how its value reaches the ledger.

Create a warehouse

  1. Open Inventory > Warehouses and select New warehouse.
  2. Enter the name and optional key. Choose the Type and Parent.
  3. For a posting warehouse, choose the inventory asset, receipt clearing and adjustment expense accounts. These mappings must be valid and distinct for their roles.
  4. Review the hierarchy and create the warehouse. Group locations organize the tree; physical movements use active posting warehouses.
Posting warehouses require the ledger mappings that explain receipts and adjustments.

Review stock balances

  1. Open Inventory > Stock balances.
  2. Use the item and warehouse filters to isolate the location you are checking.
  3. Read quantities in the item’s base unit and review the recorded value. Check batch details where present.
  4. Compare with Reservations when assessing what can still be promised or issued.

A shelf count differs

First check the item, warehouse and unit. Look for a delivery, receipt or transfer still in draft or incomplete posting. Use Stock ledger to explain movements before recording a physical count adjustment.

Do not change warehouse account mappings merely to make a reconciliation agree. Review the source document and the accounting destination with finance.
